Return and Refund Policy

XYZ Supply accepts returns on qualifying roofing and solar materials subject to the following terms. Because we serve a B2B market with specialized construction materials, our return policy reflects the nature of the products we distribute.
1. Return Window
Returns must be initiated within 30 calendar days of the delivery date. After 30 days, returns will not be accepted unless a manufacturing defect is documented.
2. Condition Requirements
- Unopened and in original, undamaged manufacturer packaging
- Not installed, cut, applied, or otherwise used
- Free from exposure to weather, moisture, or site conditions
- Accompanied by the original order number or invoice
Eligible examples: sealed bundles of architectural shingles, boxed inverters, unopened rolls of underlayment, uninstalled racking components in original packaging.
Products brought to a jobsite but not installed may still qualify if they meet all condition requirements above.
3. Restocking Fees
- 15% restocking fee on all eligible standard stock returns
- 20% restocking fee on opened or partially used materials returned under a defect exception
- Restocking fees are deducted from the refund amount. Original shipping costs are non-refundable.
4. Non-Returnable Items
- Custom-cut materials or special-order products
- Solar panels that have been unwrapped, installed, or connected to electrical systems
- Inverters and microinverters that have been powered on or registered to a monitoring system
- Peel-and-stick or adhesive-backed underlayment once opened
- Materials sold as clearance, final sale, or liquidation
- Any material exposed to weather, water, or UV degradation
5. Defective Products
Report defects within 30 days of delivery. Email sales@xyzsupply.com with your order number, defect description, and photos. Our team will coordinate with the manufacturer's warranty process. XYZ Supply is a distributor — manufacturer warranties govern defect resolution. See our Warranty Information page.
6. RMA Process
All returns require a Return Merchandise Authorization (RMA) number. Do not ship returns without an approved RMA.
- Email sales@xyzsupply.com with order number, items to return, reason, and photos if applicable.
- Our team reviews within 2 business days and issues an RMA number if approved.
- Pack securely in original packaging, label the outer box with the RMA number, and ship to the address in the RMA confirmation.
- Once received and inspected, your refund or credit is processed within 5-10 business days.
7. Return Shipping Responsibility
- Standard returns: customer is responsible for return shipping costs
- Defective or incorrectly shipped items: XYZ Supply provides a prepaid return label
- Freight returns (solar panels, bulk roofing) must be coordinated with our logistics team. Unauthorized freight returns may be refused.
8. Refund Timeline
- Approved refunds processed within 5 business days of receiving the return
- Credit card refunds may take an additional 3-7 business days to appear
- Account credits for NET term accounts applied within 5 business days
